### A month of timesheets becomes a set of drafts

On the first working day of the month the agent runs the billing sweep. List Projects gives the active engagements, List Time Entries pulls the period's billable minutes for each, and the article catalog supplies the rate. Where time was tracked in [Clockify](https://flowrunner.ai/integrations/clockify) or [Harvest](https://flowrunner.ai/integrations/harvest) rather than in FastBill, Create Time Entry books it against the right project first, with billable minutes recorded below total minutes wherever time was deliberately written off. Create Invoice then writes a draft. The agent re-reads it before going further, because supplying items on an update appends them to whatever is already there unless replacement is explicitly requested, and a retried step is the ordinary way an invoice ends up with two of everything. The account's event feed reports each completed invoice with its totals inline. From there the agent watches the bank feed and the payments captured in [Stripe](https://flowrunner.ai/integrations/stripe) for a matching amount and reference. A clean match calls Set Invoice Paid with the payment method written in FastBill's own wording. A partial payment does not: the agent posts the invoice, the amount received, and the shortfall to the finance owner rather than settling a document that is not settled. Marketplace payouts are recorded with Create Revenue and supplier costs with Create Expense, with one caveat worth planning around. Create Expense in this API cannot carry the scanned voucher, so the agent files the expense and flags the document that still has to be attached, rather than leaving the gap for someone to discover at audit.

## Human-in-Loop Highlight

Create Invoice returns a draft with no number. Complete Invoice assigns the number, and from that moment the document exists in an unbroken sequence: the correction is Cancel Invoice, which writes a cancellation and keeps the numbering intact, rather than an edit. Two things ride on that call. The first is VAT Case, which is not a label but a legal choice among domestic supply, small business exemption, consumer sales inside and outside the EU, reverse charge to an EU business, and export outside the EU. It changes both the tax charged and the wording printed on the document. The second is the line set, which an appended update can have doubled without any error. So the billing agent completes nothing on its own. It posts: "Draft for Meridian GmbH, 8 lines, 14,200.00 EUR net, prices excluding VAT. The customer's country is AT and their VAT identifier is present and well formed, so the proposed case is reverse charge to an EU business, which prints no German VAT. Their last three invoices used the same case. Complete and send, or change the case?" A person answers in one message. The gathering, the pricing, and the line-set check were the agent's work. The statement about tax was not.
