1. Activity Event fires with a reply event when a prospect responds to an outbound sequence
2. Agent passes reply content to Gemini AI for classification
3. Positive replies trigger HubSpot deal creation and lead status update in Instantly
4. Sales rep receives Slack notification with reply text and Calendly booking link
5. Negative replies update lead status and, on request, get added to the blocklist
6. Ambiguous replies paused and surfaced to sales manager for routing decision

## What This Integration Enables

Instantly integration gives FlowRunner agents full control over outbound email infrastructure: campaign creation and management, lead operations, email account setup, list management, and response handling. A single Activity Event trigger carries every workspace event on its payload, so agents subscribe once and branch on what actually happened: a send, a reply, a bounce, an unsubscribe.

### Without FlowRunner

**Manual reply monitoring**: SDRs check campaign dashboards throughout the day for new replies

**Slow lead handoff**: Interested replies sit until a rep manually creates the CRM deal and sends a follow-up

**Bounced emails ignored**: Bounced addresses stay in sequences and continue wasting send volume

### With FlowRunner

**Real-time reply classification**: Every reply classified by intent within seconds of arrival

**Automated sales handoff**: CRM deal created and Calendly link sent before the rep knows the lead replied

**Systematic bounce recovery**: Bounced addresses searched in Apollo and re-enrolled or flagged in CRM automatically

## Use Case Scenarios

### Reply Classification and Routing

Activity Event fires with a reply event. The agent reads the reply content and passes it to Gemini AI for classification: positive interest, negative/not interested, question requiring a response, or out of office. For positive replies, the agent creates a HubSpot deal, marks the lead as Interested in Instantly, and sends a Slack notification to the sales rep with the reply text and a Calendly link to book a call. For negative replies, it updates the lead status so the sequence stops treating them as live. For questions, it routes to the sales rep with the question flagged for a personal response.

### Bounce-Driven Data Hygiene

Activity Event fires with a bounce event. The agent updates the lead's status to reflect the invalid address. It searches for the lead in Apollo to attempt to find a current email address. If Apollo returns a verified alternative, the agent updates the lead record and re-enrolls them in the sequence. If no alternative is found, it updates the CRM contact with an invalid email flag. Bounces are handled systematically, not ignored.

### Interested Lead Handoff

Activity Event fires when a lead is marked interested. The agent creates a new contact and deal in HubSpot with the lead's information and campaign history. It generates a single-use Calendly link and sends a personalized email from the sales rep's Outlook account: "Thanks for your interest in FlowRunner. Here is a link to find a time that works for you: \[personalized link\]." The sales rep receives a Slack notification: "\[Lead Name\] at \[Company\] has been qualified as interested. CRM deal created. Calendly link sent. Review here: \[HubSpot deal link\]." The handoff is complete before the rep even knows the lead replied.

## Human-in-Loop Highlight

Not every positive reply is an unambiguous buying signal. When the reply classification is ambiguous (mixed positive/negative signals, a vague expression of interest, or a conditional yes), the agent does not route to the full sales handoff sequence automatically. It surfaces the reply to the sales manager via Slack: "Reply from \[Lead Name\] at \[Company\] is classified as ambiguous. Here is the reply: \[text\]. Route to sales as qualified, continue nurture, or respond directly?" The manager reads the actual reply and decides. AI handles the clear cases. Humans handle the edge cases.

## Agent Capabilities

56 actions

### Campaigns

11

- **List Campaigns** Returns campaigns with filtering and pagination. The roster read behind reporting and routing.
- **Get Campaign** Retrieves one campaign by ID with its full configuration.
- **Create Campaign** Creates an outreach campaign with scheduling, sequences, tracking, and account settings configured in the same call.
- **Update Campaign** Updates a campaign's name, schedule, sequences, tracking, or sending accounts. Every parameter is optional, so a flow changes one thing without restating the rest.
- **Duplicate Campaign** Copies an existing campaign with all its settings and sequences. The safe way to test a variant without editing something already sending.
- **Activate Campaign** Starts or resumes a campaign so it begins sending to its leads. The moment a sequence stops being a draft and starts reaching strangers.
- **Pause Campaign** Halts sending on a campaign. The containment action when something is wrong and nobody has worked out what yet.
- **Delete Campaign** Permanently deletes a campaign. It cannot be undone.
- **Search Campaigns by Contact** Finds every campaign containing a specific lead email. Used before enrolling anyone, so the same person does not receive three sequences from the same company in a week.
- **Add Tags to Campaigns** Applies tags across one or more campaigns for filtering and organization.
- **Remove Tags From Campaigns** Removes tags from one or more campaigns.

### Campaign Analytics

3

- **Get Campaign Analytics** Returns performance metrics for one or more campaigns.
- **Get Campaign Analytics Overview** Returns a high-level view across campaign performance. The read behind a leadership summary.
- **Get Daily Campaign Analytics** Returns a day-by-day breakdown. The read that shows when deliverability changed rather than only that it did.

### Leads

5

- **List Leads** Returns leads with pagination and filtering, including status and campaign associations.
- **Find Lead** Finds a lead by email address or other criteria. The resolve step before any lead write.
- **Add Lead to Campaign** Adds or moves a lead into a campaign for outreach.
- **Update Lead Status** Updates a lead's status to track progress through the outreach workflow. The write that records interested, not interested, or do not contact.
- **Delete Leads** Permanently deletes lead records from the workspace, not merely from one campaign. There is no undo.

### Lead Lists

6

- **Create Lead List** Creates a lead list to organize leads in the workspace.
- **List Lead Lists** Returns the lead lists with pagination.
- **Get Lead List** Retrieves one lead list by ID.
- **Update Lead List** Updates a list's name, enrichment settings, or owner.
- **Delete Lead List** Permanently deletes a lead list. This cannot be undone.
- **Get Lead List Verification Stats** Returns verification statistics for a list: valid, invalid, and risky email counts. The read that decides whether a list is safe to send to before the send, rather than after the bounce rate answers for you.

### Lead Labels

5

- **Create Lead Label** Creates a custom label for categorizing lead interest as positive, negative, or neutral.
- **List Lead Labels** Returns the custom lead labels with pagination.
- **Get Lead Label** Retrieves one lead label by ID.
- **Update Lead Label** Updates a label's name, interest status, or AI settings.
- **Delete Lead Label** Permanently deletes a lead label. Every lead and email carrying it is reassigned to the status you specify, which means this call quietly rewrites the classification on records nobody is looking at.

### Email Accounts

11

- **List Accounts** Returns the sending accounts with filters for status, provider, tags, or search.
- **Get Account** Retrieves one email account by its address.
- **Create Account** Creates a sending account with SMTP and IMAP settings, warmup, daily limits, and tracking domains.
- **Update Account** Updates an account's name, limits, warmup configuration, or tracking domains.
- **Delete Account** Permanently deletes a sending account. This cannot be undone.
- **Pause Account** Pauses an account so it sends nothing until resumed. The first move when a domain's reputation starts sliding.
- **Resume Account** Resumes a paused account and returns it to normal sending.
- **Mark Account Fixed** Marks an account as fixed once its issues are resolved, updating its status.
- **Test Account Vitals** Tests health and connection status, validating SMTP and IMAP settings. The check that catches a broken mailbox before a campaign discovers it for you.
- **Add Tags to Accounts** Applies tags across one or more sending accounts.
- **Remove Tags From Accounts** Removes tags from one or more sending accounts.

### Warmup

3

- **Enable Warmup** Turns on warmup for one or more accounts, gradually increasing volume to build sender reputation.
- **Disable Warmup** Stops the warmup process on one or more accounts.
- **Get Warmup Analytics** Returns warmup progress, volumes, and performance for specified accounts. The evidence behind a decision to start sending real campaigns from a new domain.

### Inbox

7

- **List Emails** Returns emails with filtering and pagination across the workspace.
- **Get Email** Retrieves one email by ID.
- **Update Email** Updates an email's properties such as read status or reminder timestamp.
- **Delete Email** Permanently deletes an email from the workspace. This cannot be undone.
- **Reply to Email** Sends a reply on an existing email. The write that reaches a prospect in their inbox, in the thread they already opened.
- **Count Unread Emails** Returns the total unread count. The cheapest possible signal that a human queue is backing up.
- **Mark Thread as Read** Marks every email in a thread read. Used once a flow has genuinely handled a conversation, not merely looked at it.

### Verification

2

- **Verify Email** Verifies an address as valid, risky, or invalid.
- **Check Email Verification Status** Checks the status of a previously submitted verification.

### Tags and Blocklist

3

- **Create a New Tag** Creates a custom tag for organizing campaigns, accounts, and other resources.
- **List Tags** Returns the custom tags with filtering and pagination.
- **Add to Blocklist** Adds email addresses or domains to the workspace-wide blocklist, so nothing is ever sent to them again.

## Triggers

1 triggers

### Event Triggers

1

- **Activity Event** Fires when activity occurs in the workspace: an email sent, a reply detected, a bounce recorded, a lead unsubscribing. This is one trigger with many event types on its payload, not one trigger per event, so a flow subscribes once and branches on the event type it receives. It is the entry point for every reactive outbound workflow, and the reason a reply can reach a rep before they think to check the dashboard.
