# zistemo

[Accounting](https://flowrunner.ai/integrations/category/finance-accounting)

1. The week closes and timesheets are due before the client billing run
2. Time Details Chosen Week reads each person's tracked hours for the period
3. Agent compares the hours against the project's budget method and its task assignments
4. Agent flags entries with no project, no task, or hours past the budget the client agreed
5. Time Tracking Approval Submit puts each clean timesheet into the approval queue
6. The agent posts the exceptions and the budget position into the delivery team's channel
7. A manager approves or rejects each timesheet, and the flow resumes on the decision

## What This Integration Enables

zistemo is a Swiss time tracking, project, and invoicing platform, and the ordering in that sentence matters more than it looks. Everything downstream of an hour lives here too, but the hour is the raw material. Timers, timesheets, time tickets, attendance, and leave feed the project, and the project feeds the bill.

The connector's shape says the same thing plainly, and it is worth stating up front rather than discovering later. The write surface is the inputs. Agents create and correct time entries, run timers, submit and approve timesheets, record expenses with their receipts, log and compensate mileage, and manage projects, tasks, clients, vendors, users, and teams. On the money side the connector reads: invoices, their PDFs, estimates, and payments, with Create Payment and Update Payment as the writes. There is no create invoice operation here. An agent can change what an invoice will say, right up to the moment somebody raises it, and cannot raise it.

That is a useful constraint rather than a missing feature, because it puts the whole automation upstream of the document, where mistakes are still cheap to fix. It also concentrates the decision. FlowRunner's [human-in-the-loop](https://flowrunner.ai/concepts/human-in-the-loop) gate belongs at the one point where hours stop being a draft, and this API has an explicit sub-system for exactly that moment.

One practical note on how state works here. Records are archived, closed, and deleted through their own routes rather than by setting a status field, so archiving a project is its own call rather than an update, and a flow that expects a status write will not find one.

### Without FlowRunner

**Hours chased at the deadline**: Missing timesheets are found on billing day, when there is no time left to correct them

**Budget position known late**: Whether a project is over its agreed budget shows up in the invoice, not before it

**Unbilled work invisible**: Mileage and expenses sit uncompensated because nobody joined them to the project

### With FlowRunner

**Hours chased continuously**: Gaps and unassigned entries are surfaced during the week, while they are still fixable

**Budget position visible early**: Tracked hours are compared against the project budget as they accumulate

**Unbilled work surfaced**: Expenses, receipts, and mileage are matched to their project before approval, not after

## Use Case Scenarios

### The week that closes itself, except for the judgment

Every Friday the agent calls Timesheet User List and Time Details Chosen Week to read what each person tracked. It checks each entry against Project Task List and Get Task Assignment, so an hour logged against a task nobody is assigned to is caught rather than billed. It reads Get Project and Project Budget Methods to see where the project stands against what the client agreed. Clean timesheets go to Time Tracking Approval Submit. Everything else, along with the budget position, posts into [Slack](https://flowrunner.ai/integrations/slack) for the delivery managers, who decide. Nothing reaches an invoice on the strength of the agent's opinion about whether an hour was billable.

### Expenses and mileage that reach the project they belong to

A receipt photo arrives from a consultant. The agent creates the expense with Create Expense, files it under a category from Get Expense Categories and Get Expense Sub Categories, attaches the image with Attach Expense Receipt, and joins it to the right engagement using Get Expense Projects. Mileage claims follow the same path through Create Mileage and Mileage Project List. Compensate Mileage marks a claim as reimbursed, and Uncompensate Mileage reverses it when a claim is queried, which makes this one of the safe pairs an agent can run unattended. The result is that the recoverable costs are attached to the engagement before anyone bills it, rather than found afterward.

### Projects that stay in step with the tool the work is planned in

Delivery is planned in [ClickUp](https://flowrunner.ai/integrations/clickup) or [Asana](https://flowrunner.ai/integrations/asana), but the hours have to land against the right zistemo project. The agent creates and updates projects with Create Project and Update Project, keeps the task list aligned with Create Task and Update Task, and manages the staffing with Project Staff List and Update Task Assignment. When an engagement finishes, Mark Project Close and Mark Project Archived take it out of the picker so nobody tracks time to it by accident. A weekly extract of tracked hours and budget positions appends to [Google Sheets](https://flowrunner.ai/integrations/google-sheets) for the utilization review.

## Human-in-Loop Highlight

Time Tracking Approval Approve is the moment tracked hours become two commitments at once: what a client will be billed and what a person will be paid. It is also the last point this connector can influence them, because there is no create invoice operation in it. Once a period is approved, the document raised from those hours is raised outside the flow's reach, and Time Tracking Approval Unlock can reopen the period in zistemo but can do nothing about an invoice already sent from it. So the timesheet agent assembles the case and stops. It posts to the delivery manager: "Week ending 12 September, 6 timesheets, 214 hours. Four are clean. Two are not: 11 hours on Meridian Rebuild are logged against a task nobody is assigned to, and the project is 9 hours past the budget the statement of work fixed. Approve all six, approve the four and return the two with a note, or reject?" The manager answers, and the agent runs Time Tracking Approval Approve, Time Tracking Approval Reject, and Time Tracking Approval Add Note accordingly. The counting, the matching, and the budget comparison were the agent's work. Deciding what a client owes was not.
